PTO Event Descriptions

Committee Description Frequency
After School Clubs Coordinate after school club set-up and sign-up.  Ensures that funds are collected as needed and students are notified of start dates/cancelations.  This includes music programs such as choir and violin.  Committee members and volunteers are needed to assist the chairperson. Annual 5K This event takes place in November. The chairperson is responsible for organizing the annual 5K event.  Committee members and volunteers are needed to assist in the running of this event. Nov
Annual 5K – Fundraising The 5K fundraising chairperson is responsible for coordinating corporate fundraising and sponsorship of the 5K.  Committee members and volunteers are needed to help in fundraising efforts. On-going
Birthday Table/Board This event takes place monthly (at the end of the month) around lunch time (11:15-12:30). The chairperson will purchase decorations for the table, treats and prizes for the students, and organize volunteers to help each month.  Committee members and volunteers are needed to assist with this monthly event. Book Fair This event takes place three times throughout the year, usually in October, January, and April. The chairperson will be in charge of scheduling, running, and handing all events surrounding the book fair.  Committee members and volunteers are needed to help run the fair. OctJanApr
Bus Coordination The chairperson is the point of contact between parents with students and the bus company.  Coordinate initial sign-up and any ongoing concerns throughout the school year. On-going
Christmas Boutique The chairperson is the point of contact for coordinating vendors and set up of the Christmas Boutique in December.  Committee members and volunteers are needed to help run the boutique. Dec
Christmas Decorations The chairperson is in charge of communicating with class captains to have students make Christmas ornaments for the tree or for wall decorations. Volunteers are needed to help with setting up and taking down decorations. Nov
Classroom Volunteers The chairperson is responsible for the class captains and making sure volunteer hours are logged in. They will set out volunteer sheets at registration, coordinate with class captains any volunteer needs, and communicate with the Volunteer Hours Coordinator, teachers, and PTO to make sure that all volunteer needs within the classrooms are taken care of. Dads & Doughnuts This event takes place in March. The chairperson will have a committee, purchase necessary items (paper products, drinks, and donuts), and get volunteers to help serve the dads and students that come before school to read with each other.  Committee members and volunteers are needed to assist in the running of this event. Dr. Suess’ Birthday This event takes place in March. The chairperson is in charge of organizing events to commemorate Dr. Seuss’ birthday throughout the school day. This could include a volunteer wearing the Cat in the Hat costume to greet students, scheduling local policemen/firemen to read books to K-3rd graders, having a creative writing prompt for 4th-6th graders, ordering cupcakes, bookmarks, etc. Mar
Fall FiestaAssistant – (2 year commitment) This event is the PTO’s largest fund raising event of the year.  It takes place in September. The chairperson will have an assistant who will be a ‘shadow’ and take over the following year. Together they will coordinate the event, including: food, booths, activities, music, etc.  Committee members and volunteers are needed to help run the stations and events at the Fall Fiesta. Sep
Fall Fiesta – Silent AuctionAssistant – (2 year commitment) This event takes place in September as part of the Fall Fiesta. The chairperson is responsible for gathering donated items for gift baskets to be sold at the silent auction, organizing the auction itself and collecting payment from the winning bidders. The chairperson will have an assistant who will be a ‘shadow’ and take over the following year.  Volunteers are needed to help with gathering donations, set-up and take down for the event. Sep
Field Day This event takes place in June on the second to last day of school. The chairperson will assemble a committee in March to brainstorm ideas, arrange the set-up of the necessary stations, and sign-up volunteers to help head up stations and/or student groups.  Committee members and volunteers are needed to assist in the running of this event. Field Day-Kindergarten This event takes place in May on the last day of Kindergarten. The chairperson will have a committee and be responsible for planning a day full of fun activities for both AM and PM Kindergarten classes.  Committee members and volunteers are needed to assist in the running of this event. May
Front Bulletin Board The chairperson will be responsible for maintaining the PTO Calendar Board (above the east drinking fountains) by decorating it with handmade or purchased material and posting announcements for upcoming events upon receiving them from the Principal or PTO President. On-going / Monthly
Fundraising-  6th Grade Teton Trip The chairperson is responsible for fundraising efforts for the 6th Grade Teton Trip.  This can include coordinating events such as movie nights, car washes, selling pedometers, etc. They are to help and encourage the 6th grade students to be involved.  Committee members and volunteers are needed to assist in the chairperson. On-going
Geography Bee This event takes place in December. The chairperson will register WPA with National Geographic in order to participate in the current year’s Geo Bee. They will review contest materials and make preliminary packets for interested 4th, 5th, and 6th grade students so they can hold their classroom bees. A minimum of 6 participants is required. The coordinator will also prepare gift packets for each of the classroom finalists, organize the final bee, and purchase a grand prize for the school winner. The teacher of WPA’s winner will then administer a final test to be turned into National Geographic who may then invite our student to participate at the state level.  Committee members and volunteers are needed to assist in the running of this event. Giving Tree The chairperson is in charge of talking with teachers to find out what they want and need for their class for the upcoming school year. They will then post them on their classroom door during registration, Back to School night, and at Parent-Teacher conferences. Aug
Grant Writing Volunteers work with Mrs. Shepard and teachers to obtain grants for general school purposes, field trips, Service Learning, etc. On-going
Hospitality The chairperson is in responsible for providing treats and meals for the faculty and staff during several events throughout the school year. This may include meals before school, during Parent/Teacher conferences, or a luncheon. A monthly treat of some kind for teachers and staff is also provided as well as a small gift for teachers at Christmas from the PTO.  Committee members and volunteers are needed to assist the chairperson. Moms & Muffins This event takes place in November. The chairperson will put together a committee, purchase necessary items, and get volunteers to help serve the moms and students that come before school to read with each other.  Committee members and volunteers are needed to assist in the running of this event. Nov
Night of the Arts This event is WPA’s answer to other schools’ ‘Reflections’ program. The chairperson will have volunteers to help make phone calls, put together submission packets, judge contestants and participate in the display of entries.  Committee members and volunteers are needed to assist in the running of this event. Spring
On-going Fundraising This position entails finding companies or websites dedicated to giving money back to schools in the way of cash or in-school products such as books or supplies. The chairperson will be in charge of communicating to parents and students, ways in which they can help earn money for WPA as well as the ongoing collection of items to be turned in for rewards. On-going
Publicity The chairperson will work with the Office Manager to inform the media and other outlets as well as the cities of North Salt Lake and Bountiful about upcoming WPA activities. They will communicate with those PTO Committees in need of publicity and work to get the word out. On-going
School Pictures This event happens a couple of times throughout the school year. The chairperson is responsible for finding a photographer (if necessary), advertising for picture day, providing volunteers to help on picture day, and assist in the distribution of the photo packages.  Committee members and volunteers are needed to assist the chairperson with the event. Sixth Grade Graduation This event takes place at the beginning of June. The chairperson is in charge of planning, organizing, and supervising the 6th grade graduation. Duties include making invitations, working with WPA administration and 6th grade teachers to choose speakers and musical numbers, and providing refreshments for the event.  Committee members and volunteers are needed to assist in the running of this event. Someone Special Lunch This event takes place in April. The chairperson is responsible for planning and organizing the event, advertising, communicating with the WPA kitchen staff, collecting money, arranging entertainment, and the setup and cleanup of the event.  Committee members and volunteers are needed to assist in the running of this event. Service Learning This event takes place in April and is core to the WPA charter—showing students that what is learned in the classroom can be used to help and serve the community. The coordinator will organize volunteers to help each grade with their respective projects in the classroom and at the Service Learning Fair. On-goingApr (fair)
Spelling Bee This event takes place in January. The chairperson will review contest materials and make preliminary packets for interested 4th, 5th, and 6th grade students so they can hold their classroom bees. Student Council Coordinator The chairperson will work with a WPA staff member to help develop leadership skills in the student officers. They will supervise student officers at school functions and help coordinate and implement activities for which the student officers are responsible. On-going
Student Directory The chairperson is in charge of putting together a directory for the families of WPA. Duties include communicating with administration, staff, and the PTO to get the necessary information, organizing all the information into a directory, calling printers for bids, and advertising. Aug-Oct
Superstar Breakfast This event takes place monthly with the principal, Mrs. Shepard, and recognizes students who have been nominated by their teachers for displaying ‘Superstar’ behavior that month. The coordinator is in charge of helping Mrs. Shepard with an activity (if needed), setting up the table and adding decorations, purchasing utensils and paper products, and cleaning up afterwards.  Committee members and volunteers are needed to assist in the running of these events. Teacher Appreciation This event is in May. The chairperson will coordinate with volunteers to help think of ways to celebrate Teacher Appreciation Week. This could include decorating teachers’ rooms/doors, doing nice things for the teachers, or helping students write notes or do something for the teachers. In the past they have sold roses for students to give to teachers.  Committee members and volunteers are needed to assist in the running of this event. May
Used Clothing The chairperson is in charge of organizing and selling used uniforms donated by parents to earn money for the school. Clothing donations are accepted throughout the year.  Committee members and volunteers are needed to assist the chairperson. On-going
Valentines Dance The chairperson is responsible for organizing the 6th grade dance. Duties include decorating, finding a DJ, organizing dance lessons, and providing refreshments. Committee members and volunteers are needed to assist in the running of this event. Feb
Veteran’s Day The chairperson is responsible for coordinating the Veteran’s Day event at the school for students and family to celebrate Veteran’s Day.  They will coordinate with teachers and guest speaker/presenters for the event.  Committee members and volunteers are needed to assist in the running of this event. Nov
Vision Screening This event takes place in the beginning of the school year. The chairperson will receive training from the school secretary prior to beginning this position and have two assistants to help with the testing—one to point to the chart and one to shuttle students from the classroom. They will then be responsible for screening all Kindergarten students at registration or once school starts. Sept
Volunteer Hours This position is done year-round. The chairperson will primarily be in charge of recruiting parent volunteers for the different PTO committees and encouraging parents to find ways to fulfill their 30-hour time commitment to WPA. Duties may include, but are not limited to, coordinating volunteer needs of the PTO committees, keeping track of each family’s hours throughout the school year, reporting quarterly to the Principal and PTO President the status updates of volunteer hours, and reaching out to families struggling to meet their commitment. Website Coordinator The chairperson is responsible for making sure that information on the WPA website is current and correct and asking the webmaster to make changes where necessary. On-going
Wednesday Note  / Blog Coordinator The chairperson is in charge of compiling/formatting information from PTO committees, teachers, staff, and others to be communicated to WPA families via the weekly Wednesday Note and WPA PTO Blog. A proficiency in Microsoft Word is encouraged as well as experience with graphics, image files, fonts, and pictures, but not required. A draft of the WN is submitted weekly and, once approved and finalized, will be sent out by the office staff. On-going / Weekly
Yearbook The chairperson is in charge of designing and producing a yearbook for students at the end of the school year. Duties may include finding a yearbook company (if necessary), gathering photos taken throughout the year, advertising, managing costs/sales and distribution of yearbooks.  Committee members and volunteers are needed to assist the chairperson.
